SmartPORT/overlaying an existing record
using the RLIN database
1. With book in hand, search Unicorn Workflows to locate the record you wish to overlay.
2. Issue a Display1 Item command. Click OK.
3. Open a session of WinRLIN and search the RLIN database for good copy. Write down the
library ID of the record you wish to import.
4. Go back to Unicorn Workflows and open a session of SmartPORT by going to the Command
prompt on the menu bar and finding either:
Objects source search
OR
Verbs search source
5. In the box-- "Z39.50 Servers" select the Zephyr RLIN Database by clicking in the
box to the left of the database and Click on the Blue lightening bolt to initiate your
connection.
6. In the "Question" box, click on Search or press Enter.
7. Go to the top of the window and find the chain icon. Click on this icon if needed to
bring up the picture icons.

8. Using the picture icons search, type in your RLIN Record ID and press the Enter button.
9. In the box: "Select Fields to Search" - select Library ID [Numeric] and double click, or click OK, or press Enter.
10. In the "Hit List Window" click on the display icon.
NOTE: There should only be one icon if done correctly.
11. You should be able to view your RLIN record.
12. If this is the record you want, capture it by clicking on the Camera Icon.
13. In the "Load Bibliographic Record Options" box, Click on the button left of Replace current record.
14. Be sure the match points are filled out correctly
Match points: d
Call sources: LC,50,,N (or change 50 to 90 if necessary for Dewey call number)
Library: LEE (or change to correct library type)
NOTE: Default values for the Options Box may be set in Workflows by going to Preference on
the menu bar, scrolling down and clicking on Cataloging. The changes can be made and then
saved by clicking on the OK button.
15. Click on Ok or press Enter.
16. "Question" box. If this box does NOT come up, close the window and check the "Load Bibliographic Record Options" and make sure the Replace current record is marked.
17. "Question" box: Click on Replace OR press Enter. If you wish to CANCEL the
transaction, press Cancel.
18. In the "Loading bib record" you MUST edit all invalid delimiters and indicators;
otherwise, the entire tag (field) will be stripped at the point of entry. The 050, 082, 1XX, 260,
300, and 7XX tags are usually the most problematic. At this point, fields may also be edited or
added. NOTE: The 952 fields will go away, no need to delete them.
19. Once you have made all the necessary changes, if any, Click OK. The display of the
imported record is reformatted. You may now add your barcode, verify your call number, add
your 583, add your Item Cat1 import source, and make any other desired changes. Click OK to
save these changes.
20. With your record overlaid and edited, you may click Close.
21. Refresh the Display1 screen. Click Ok. Scan the record to make sure all fields were
imported correctly. If additional revisions are necessary, initiate an Edit Item command.
Cataloger's NOTE: For those who have students overlay records but do NOT want the 050 call
number to show until you have cataloged the item. There is a little process that you can follow
to preserve the XX number. At the time you initiate your Display1 Item command, copy the
XX call number. Continue with your SmartPORT procedures as outlined. At the point of
"Loading bib record," you can paste your XX call number over the imported number.
If you forget to copy the XX number on the Display1 screen, you can typeover the new call
number at the point of "Loading bib record."
If your import record does not have an 050, it will retain the XX number.
