Students/Editing Bibliographical Records

  1. Search the Unicorn Authority File for the correct authority record.
    1. If found, copy the heading from the authority record, noting the tag and indicators. Proceed to # 2.
    2. If not found, search RLIN and then use smartport to get the record into Unicorn. Go back to step a.
    3. If heading is not found, follow directions for problem headings.

  2. Search and find the bibliographic record that needs editing. (This search could be a browse (house) or a keyword (binoculars) search, or a search by key number in "Display1 ITEM.")

  3. Check to be sure that you have the bibliographic record you want to change.

  4. Issue "Display1 ITEM" command.

  5. Click "OK" on the first screen. Is this the record you want?

  6. Go to the bottom of the screen and click on "copy 1."

  7. Click on "Edit item."

  8. Click "OK" on the first screen. Is this the record you want?

  9. Scroll down to the heading you want to change.

  10. Check to be sure this is the heading you want to change. Delete all typing from the field. Then paste in the correct heading. Check to be sure that the tag and indicators are correct. If not, they need to be corrected.

  11. Make a 583 field listing the changes made by you to the record. (see 583 procedure)

  12. When all changes are made, click "OK." Check the record for unauthorized headings. If no headings end with "unauthorized," you are done with the record. If headings do say "unauthorized" return to step 1 for the unauthorized heading. Be sure to fill out an authority slip and put it with the book you send to someone else.
