Editing Authority Records
Search the UNICORN Authority File using the "Browse Authority" command. Find the record
that you need to edit.
With the record you want to edit on the "Browse Authority Screen," Check to be sure this is the
record you want to edit; and issue the "Edit Authority" command.
First screen:
- "New authority ID": should be the key control number for the record you are editing.
- Click "OK."
Auto screen:
- Format: changed if needed (see Format Table)
- Authorization level: Always pick "provisional."
- Source: Will remain the same.
- Options: Leave as is.
- Click on "OK."
Basic info:
- New authority ID: Leave as is. Write the number down; you may need it later.
- Created by: Leave as is.
- Modified by: Leave as is.
- Date authorized: "Today."
- Check that Format is correct, Authorization level is "Provisional."
- Source: Will be the source of the original record.
Fixed Fields
- Change fixed fields as needed.
Entries
- Change the variable fields as appropriate.
- Be sure to add a 690 field with your initials, the date, and any other information needed.
Finishing steps
- Look over your authority record and check for any errors. (Be sure to check that the 1XX
field matches the format.
- Click on "OK."
- Click on "Close" to close "Edit Authority
- Return to "Authority Browse" and search for the record. (This step is important to make
sure that the record is established.
- Check the heading on the bibliographic record to be sure "unauthorized" has
disappeared from the field. (For "unauthorized" to disappear from the bibliographic
record, it must be taken off the field and you must click on "OK.")
