Multipart Items in Analyzed Sets

Follow this policy to record series and volume numbering in appropriate parts of the catalog record for a multi-volume work that is part of series classified together as a set.

Instruction for specific fields

Series note & series added entry

Follow the directions given in AACR2rev 1.6G2 and LCRI 21.30L for recording the series numbering. In general:

If the parts are numbered consecutively in the series, record the first and last numbers separated by a hyphen in both the series note and the series tracing.
If the parts have numbers that are not consecutive, record all the numbers in the series note, but only the lowest number followed by a comma and "etc." in the tracing.

Content note (if applicable)

Use the numbering assigned to the parts of the work (not the series) to describe the parts in a contents note.

MARC holdings record

Follow the guidelines in ANSI/NISO Z39.57, part 4.5 and record the library's holdings in terms of the numbering assigned to the parts of the work (not the series). Add a note in angle brackets following the holdings statement: . Separate notes may be made by each volume if the holdings are itemized in the statement.

Call number

If all parts are numbered consecutively in the series, give the first and last numbers separated by a hyphen as part of the call number. If the parts are given numbers that are not consecutive, give the lowest number followed by a comma and "etc."

Item record

Enter the series numbering (i.e. the number you want to appear as the last element of the call number) in the ENUM/CHRON: field. The individual part number may be entered in the MIDSPINE: field.

Example

You have a three-volume work that is part of an analyzed series kept together. The three volumes are numbered Book I, Book II and Book III on their respective title pages. The books are numbered v. 215, v. 217 and v. 235 within the series. The set is complete.

Make a 490 field for the series note. In subfield |v put: v. 215, 217, 235.
Trace the series in an 830 field. In subfield |v put: v. 215, etc.
If a content note is needed, formulate it as follows:
505:0 : a Book 1. [title] -- Book 2. [title] -- Book 3. [title].
Create a MARC holdings record as follows:
866: 1: a book 1-3 <v.215,217,235 of the series>
Create an item record for each volume of the set. Record numbering in the appropriate fields as in the following example for book 1:
ENUM/CHRON: vol.215 MIDSPINE: book 1
Use the call number for the series and add "vol. 215, etc." to the end of it.
